How Accurao Limited handles personal information when you visit the website, contact us, apply for the beta or use Accurao Reviewer.

This notice explains the information Accurao handles, why it is used, how long it is retained and the choices available to individuals.

1. Who we are

Accurao Reviewer is developed and operated by Accurao Limited, a company registered in England and Wales under company number 17421054.

Questions, requests or complaints about personal information can be sent to info@accurao.com.

2. Our role

Accurao is a controller for information relating to website visitors, beta applicants, user accounts, enquiries, support, feedback and service security. This means Accurao decides why and how that information is used.

Accurao is a processor when an accountancy firm or financial controller uploads financial information for a client or employer. The firm or employer controls that information and decides what is uploaded and why. Accurao processes it only to perform the requested review and on the controller's instructions.

3. Information we handle

Names, work email addresses, organisations, roles and contact details.
Beta applications, booking information, account details and support communications.
Login, device, IP address, application and security records.
Financial statements, trial balances and fixed asset registers uploaded for review.
Extracted document text, structured values, review findings and downloaded results.
Prior-year statutory account information retrieved from Companies House.
Feedback supplied by beta participants.

4. Why we use information

Provide the service

To assess beta applications, create accounts, perform requested checks, return findings and provide support. We rely on steps taken before entering into an agreement and performance of our agreement with the participant.

Protect and operate Accurao

To authenticate users, maintain service reliability, investigate problems and protect the service from misuse. We rely on our legitimate interests in operating a secure and reliable service.

Respond and improve

To respond to enquiries and use participant feedback to improve how Accurao works. Improvements are based on user feedback, not on uploaded financial information. We rely on our legitimate interests in supporting users and developing the service.

Meet legal obligations

To comply with applicable law, respond to lawful requests and establish or defend legal claims where necessary.

5. Uploaded documents and AI processing

Uploaded financial statements, trial balances, fixed asset registers and their extracted information are used only to provide the requested review. Accurao does not use uploaded financial information to train AI models or independently improve the product.

AI processing uses Anthropic's Claude API. The document text and trial balance data needed for the requested checks are sent to Anthropic, acting as a processor under its commercial terms. Under those terms, customer inputs and outputs are not used to train models, and prompts and responses are not retained after the response is returned. Anthropic may retain content flagged by automated safety systems or where required by law.

Accurao Reviewer does not make solely automated decisions producing legal or similarly significant effects. Findings are returned for professional assessment.

6. Service providers and recipients

Accurao uses carefully selected providers for authentication, hosting, document storage, AI processing, email and booking services. Providers may process information only for the relevant service and under their contractual obligations.

Information may also be disclosed to professional advisers, regulators, courts or public authorities where necessary or required by law. Participating firms receive current subprocessor and processing-location information in writing before beta access is granted.

7. International transfers

Some service providers may process personal information outside the UK. Where UK data-protection rules treat this as a restricted transfer, Accurao uses an applicable adequacy arrangement or contractual safeguard. Details relevant to beta processing are provided before access is granted.

8. Retention and deletion

Uploaded documents and review results are retained during participation and for 30 days afterwards, then deleted from active systems.
Residual backup copies are removed through the normal backup cycle within 90 days of active deletion.
Application and security logs are normally retained for 90 days unless needed to investigate an incident.
Support correspondence and identifiable beta feedback may be retained for up to 24 months.
Account, application and legal records are retained only for as long as reasonably needed for administration, legal obligations or dispute management.
Genuinely anonymised feedback and aggregated product insights may be retained indefinitely because they no longer identify an individual.

9. Website tracking and booking

The website does not currently use advertising trackers or analytics tools. The Cal.com booking service loads only when a visitor chooses to load the booking calendar. Cal.com may then process booking information and set cookies under its own privacy terms.

10. Your rights

Depending on the circumstances and lawful basis, individuals may have rights to access, correct, erase or restrict their personal information, object to its use, or receive certain information in a portable form.

Requests can be sent to info@accurao.com. Where Accurao processes client information only on behalf of an accountancy firm or employer, the request may need to be handled by that controller and Accurao will assist where required.

12. Changes to this notice

We may update this notice as Accurao Reviewer develops or its processing arrangements change. The current version and update date will always appear on this page.
